Report Back on Thursday Evening November 18th 2010 Tour Meeting

Many thanks to those who could make it and help finalise our long awaited decision re the flights out of here to get going on the tour!!
To just recap so that we are all on the same page with the confirmed arrangements thus far.

    • We have finally got an airline to make a good commitment for a group rate - not all airlines offer group rates – which KLM offers as long
    • as we have 20 individuals flying together.
    • Many other airlines have still not come back to us tackling all the questions we asked. KLM has offered the best price thus far and the clearest responses and solutions to our queries. Maybe some airlines do not believe we intend to go or do not want to commit
    • themselves to a special price this far ahead.
    • KLM is also in partnership with Air France and so as we talked we asked if we could:
      • Fly from CT to Amsterdam and then disembark for a few days
      • We would board again a few days later and fly to Paris to disembark for a few days
      • Then, instead of flying back to Amsterdam and on to New York, we could catch a flight with their partner, Air France, and fly direct
      • from Paris to JFK airport in New York where we disembark and stay for a few days. They agreed to this all
      • Our return flight would be from JFK airport in New York with KLM Airlines through to Amsterdam and then from there we could catch
      • another plane to Cape Town
      • The total price for all these flights across three continents and including landing fees and airport taxes was R 9 500.00.

      • We discovered a flight to Orlando for R 1 000.00 and back again -in total R 2 000.00, saving us two long rail journeys of 14hours
      • each way – 28 hours in all, over a day of travelling.
      • New York to Washington return by train is R 750.00 and means we can also see Washington.
      • Using the KLM group rate meant that all travel between cities would be plane flights (except for New York to Washington and back by rail),
      • all this would only cost R 12 300.00. We had originally set the price of our one return flight at R 14 500.00 - which is what Trish
      • and others had paid when going to Las Vegas, on only one continent. This way we are visiting two continents.
      • Furthermore this includes all our intercity travel.
      • We had promised parents that we would look at utilizing Timeshare to try and swop multiple weeks to have enough space for a
      • tour group to go and stay in Orlando for the last week covering the time of attending the large conference at the end.
      • This way the cost is reduced to R100.00 per person per night instead of the original projected amount of $35-$50 per night
      • (which was about R 245.00 – R 350.00 per person). We stay at Orange Lake County, which is tremendously well laid out and
      • is so popular that a person is only allowed to come and stay there once every four years. We have had to pay for this in full to
      • secure it, so it is booked and waiting for the group.
      • Thus all major travel between cities and one week of accommodation has been secured at a price if about R 13 200.00
      • (which is still less than the quotes we had for the original flight to America only.
      • We are very sorry that this took ages to finalise and we got embarrassed calling people to meetings to tell them that the air ticket
      • prices had been delayed again and again.  In fact we were so embarrassed we stopped calling meetings till we had an answer.

So, things are now underway and the next steps forward are the following:

      • We need everyone who is coming on the tour to let us know by confirming this fact with Brian or Trish.
      • Secondly, R 6 500.00 needs to be in the tour account by 6th December to pay for the accommodation that is booked and to secure
      • one of the seats on the plane if one wants to come on the tour. The Bank Details are included at the end.
      • Accommodation is booked for twenty-four people at Orange Lake County Resort. We have subsequently had people who have
      • enquired about joining the tour.  We have pointed out that we have no problem with this but that we are first committed to the people
      • who originally put their names down on the list.  Once December 6th has passed and people have made their deposits -
      • or have spoken to Trish or myself about their situations and circumstances – then, having first given priority to those who were
      • on the list from the start, we will look at all those subsequently who have expressed an interest.
      • Please remember that if you are coming you must apply for your passport now.  It takes a few months before you get it and you
      • will need it to obtain a visa to visit Holland, France and the USA.  These costs are not included in the total for the tour but are for the individual as some people already have them. The same applies for the costs for the appropriate visas.

Please note that we are about to make a booking for the Convention in Orlando. From now on we will need to have money being

    • deposited consistently into the account as we will have to make more and more deposits and bookings as the time draws near.

    • We are also working with a contact in Amsterdam with regard to classes when we are there.

      That’s it for now.

If you have any questions please contact Brian (083) 2370 5592 or Trish (083) 357-4037. Thanks
      Brian and Trish
